With the calendar events and attendees data exports, you can export information about what's happening in your calendar and who attended each appointment. Depending on the export type you choose, the spreadsheet you download will include details such as when an appointment was created, who the practitioner was, whether it was cancelled, and much more.
In this guide, we'll cover:
Exporting your data
Head to Settings, and then Data exports:
Under Data to export, select either calendar events or attendees:
Choose your date range (note that "Any time" to "Any time" will give you all appointments that have ever been created), and select the Export data button. When the export is ready, it will show up in the list of data exports.
Sometimes exports can take a long time, especially during "peak traffic" hours, and especially if there is a lot of information in the export. You don't need to wait around for the export to complete—it happens behind the scenes, so you can do other tasks in Cliniko while it's processing, and to make things easier, you can choose to receive an email to notify you when the export is completed!
Calendar events export
The calendar events export gives you an overview of everything that appears in your calendar, from individual or group appointments to unavailable blocks. You'll be able to see when an appointment was created, its type, as well as the practitioner its scheduled with. The export shows exactly what's on your calendar, which can help with analysing your schedule and understanding practitioner activity.
This export does not include any patient information. Each row represents a single calendar entry:
Attendees export
The attendees export provides a detailed view of the patients attending appointments. You'll be able to see who was added to an individual or group appointment and when this was done. You can also see how many reminders or follow-up messages were sent for a specific patient, which can help with analysing appointment outcomes or planning follow-ups.
This export includes patient information, and each row represents a single patient. Group appointments will appear as multiple rows, one row per attendee:
What happened to the old Appointments export?
The previous appointments export has been retired and replaced with the two exports above, as they provide more detailed and flexible data.
You’ll still see the old export listed at the bottom of the export menu as appointments (deprecated). It will remain available for a limited time, but it will be removed eventually.
If you rely on the old Appointments export for reporting or automation, we strongly recommend switching to the new exports now.
If you want a simple report, we'd recommend the appointments schedule report—this won't include as many details as the two exports, but will have the basics, and is a handy way to get a quick overview of your day, week, or month.
