If your clinic works with older Australians under the government's Support at Home program, you’ll need to provide evidence that care and services were delivered.
Under new legislation that came into effect on 1 November 2025, My Aged Care providers must obtain an invoice plus at least one additional piece of documentation to demonstrate confirmation of delivery.
This guide contains information on how to prepare your invoices and send treatment notes.
Appointment start time and duration on invoices
To help you confirm when a service occurred, you can include the appointment start time and duration on all invoices.
How to enable appointment duration on invoices:
Go to Settings → Invoice.
Tick "Include appointment duration on invoice" under Invoice customisations.
Save your settings.
When enabled, both the start time and duration will appear on the invoice PDF:

Providing treatment notes as evidence of service
Under the Support at Home documentation rules, treatment notes are acceptable evidence of service delivery. For allied health services, an invoice may be accepted, but providers are still encouraged to keep and submit treatment notes when required.
To send treatment notes, you may click Export PDF under a treatment note to save this to your device:
You can then upload the PDF to your provider portal or send to the care manager.
Alternatively, if you only need to send part of a note (e.g. a summary or specific sections), you may copy and paste specific parts into a letter. Here are a couple of guides on how to create letter templates as well as how to write a letter.
For allied health services, there may be a scenario that an invoice is accepted without any accompanying documentation. My Aged Care do, however, recommend that treatment notes are retained. If you need more information about invoices or treatment notes, get in touch with our support team!
