Cliniko offers a few different reports to help you understand how much revenue your practice is bringing in. Each report looks at your data slightly differently, so it’s common to see different figures depending on which one you’re using.
This guide breaks down each of the revenue-related reports so you can understand what they show, when to use them, and why the numbers might not always look the way you expect them to.

Daily payments
This report shows a breakdown of all payments recorded on a selected day for each or all business locations. It includes:
A summary of payments by payment type
The payment number, associated patient, and the payment time
The payment sources (e.g. cash, EFTPOS, card) for each payment
Good for: seeing what came into the business day-by-day. It’s especially helpful for reconciling daily takings.
Why it may differ from other reports: it shows the date and time that payments were recorded, not when an invoice was raised or fully paid (closed). It will include partial payments and payments that result in credit. The “Paid at” date and time can be edited, which can affect which day's report the payment appears in. Payment summary
This report lists all individual payments recorded within the date range you choose. It includes:
A summary of payments by practitioner, broken down by payment types
The payment number, date, and time of individual payments included in the report
The payment patient and the payment amount
Good for: a detailed look at all payments received over a period of time, especially when you want to match specific transactions.
Why it may differ from other reports: this report is based on payment data only. It doesn’t show invoices, and it includes partial payments or payments that result in credit. The “Paid at” date can be edited, which can affect which date range the payment appears in. Head here for more information on the payment summary report.
Practice revenue (accrual and cash basis)
This report shows the total invoice revenue for the practice over the selected date range. The report has two focus options:
Invoiced amount (accrual): considers all invoices with the "Issue date" within the selected date range, including open and closed invoices
Payments received (cash-basis): based on payment allocation dates. Gives the sum of all payments that were allocated to invoices within the selected date range, including open and closed invoices, irrespective of invoice "Issue date" or payment "Paid at" date
The accrual report includes:
A graph of the revenue over time (based on the mode selected)
A summary of revenue by practitioner, showing tax inclusive and exclusive totals, and totals of discounts applied to that practitioner's invoices
A summary of revenue by the item type (product, service, or other), showing tax inclusive and exclusive totals for each item type, and totals of discounts applied to those item types on invoices
Breakdowns of each invoiced item type, showing tax inclusive and exclusive totals for each item, and totals of discounts applied to those items on invoices
The cash basis report includes:
A graph of the revenue over time (based on the mode selected)
A summary of revenue by practitioner, showing tax inclusive and exclusive totals, and totals of discounts applied to that practitioner's invoices
Invoice item based information is unable to be given, as payment is allocated to entire invoices, not to invoice items.
Good for: overall performance tracking, reporting for tax purposes, or management reports.
Why it may differ from other reports: the accrual report includes open and closed invoices. Cash-basis includes only payments that were allocated to invoices during the period. If a payment was recorded but not allocated, or was allocated outside of the report date range, it won’t show here. Head here for more information on the practice revenue report.
Practitioner performance
This report shows each practitioner’s revenue, appointment count, and other performance stats over a selected period. The revenue values in this report vary depending on which type of performance you're after. You can choose whether to include revenue from:
Individual appointments only
Group appointments only
All appointments (includes revenue not related to any appointment)
Good for: tracking how each practitioner is performing across different types of appointments, especially if you want to understand their invoiced revenue in context of their patient load or appointment types.
Why it may differ from other reports: the report includes invoiced revenue linked and not linked to appointments depending on the filter. If you’re comparing figures, make sure you’re comparing the same type of data (e.g. invoices from individual appointments only vs. total invoices issued). Practitioner revenue by raised invoices
This report shows all invoices (open and closed) that are issued in the selected date range and are attributed to a specific practitioner. It includes:
A summary of all revenue by item type (product, service, or other)
A summary of revenue for each item type
A list of all invoices included in the report, along with the running total
Good for: checking exactly what was invoiced during a time period for a specific practitioner, even if the invoices haven’t been paid yet.
Why it may differ from other reports: invoices are included based on the invoice's "Issue date". It doesn’t matter whether included invoices are paid, unpaid, or partially paid. Head here for more information on the practitioner revenue by raised invoices report.
Practitioner revenue by closed invoices
This report shows all invoices that were fully paid and have their Date closed attribute within the selected date range. This attribute can be altered when editing an invoice. The report includes:
A summary of revenue by item type (product, service, or other)
A summary of revenue for each item type
A list of all invoices included in the report, along with the running total
Good for: when you want to see what revenue has actually been fully collected for each practitioner.
Why it may differ from other reports: This report only considers invoices that are fully paid and closed. Partially paid invoices are excluded. The invoice date closed field defaults to the current date when the invoice is closed. If a payment is entered or allocated to the invoice earlier or later than expected, then the invoice may appear in this report outside of the expected date range. For example, if an invoice is created during the date range but closed afterward, it won’t appear in this report even though it might appear in other reports (such as the accrual practice revenue report or practitioner closed invoices report). A few final notes
If you’re comparing figures across these reports, small differences are expected. They each look at different aspects of your invoicing and payment data - what invoices were issued, which payments were entered, and when these things occurred. Editing payment dates or forgetting to allocate payments can also affect results.
If you’re ever unsure which report to use, it often comes down to this:
Want to know what was invoiced? Use Practice revenue (accrual) or Revenue by raised invoices.
Want to know what was collected? Use Practice revenue (cash-basis), Daily payments, or Payment summary.
Want to know what was fully paid? Use Revenue by closed invoices.
Want to track performance per practitioner, including appointment stats? Use Practitioner performance.
