Relate billable items and products to an appointment type

Automatically link your products and billable items to your services.

Certain appointment types may always require the same billable items or products each time you invoice a patient. For example, some of your services might include equipment charges, travel time, and service fees with treatment:

When you create an invoice for an appointment on the calendar, you can set things up so that those specific billable item(s) or product(s) are automatically added to it. This can help to save time, because you won't need to add all these invoice items manually!

Follow the steps below to relate your billable items and products to an appointment type.


Relate billable items to an appointment type

First, make sure that you've created your billable item(s).

Then, head to Settings, followed by Appointment types:

Select the appointment type you want to work with.

Then, find the Related billable items section, and select Add billable item:

You'll then be able to select the billable item you want to add. If you have a lot, a drop-down list will display, but you can type the billable item in (or even just a few letters of its name) and Cliniko will "match" some options for you to select from:

Select the billable item you want to include, then you can adjust the quantity if need be and add a discount.

Any discounts applied to the billable item will also be applied automatically to any concession pricing you may have set-up.

The discount amount cannot exceed your concession pricing otherwise you'll see the error, "Fixed discount is not valid. Check the concession prices of this billable item and try again":

When you're finished, if you want to add more billable items just click the Add billable item button again:

You can also click Remove for any billable items that you don’t want to relate to the appointment type.

Once you’ve added all of the related billable items, if you need to relate any products to the appointment type, follow the steps below. Otherwise, click the Update appointment type button at the bottom of the page, and your settings will be saved!


Relate products to an appointment type

Similar to relating billable items to an appointment type, first, make sure that you've created your product(s).

Then, head to Settings → Appointment types and select the appointment type you want to work with. Under the Related products section, select Add product:

You'll then be able to select the product you want to add. If you have a lot, a drop-down list will display, but you can type the product in (or even just a few letters of its name) and Cliniko will "match" some options for you:

Select the product you want to include, then you can adjust the quantity if need be and add a discount. When you're finished, if you want to add more products just click the Add product button again. You can also click Remove for any products that you don’t want to relate to the appointment type.

From here, click the Update appointment type button at the bottom, and that's all you need to do! Now, when you create an invoice from the Appointments page (which is linked to a specific appointment type), the invoice will automatically include the related billable items and/or products 🙌!


Online booking payments for related billable items

If you have online booking payments enabled, when relating billable items to your appointment types, you’ll see an estimated total at the bottom of the page:

Any discounts you’ve applied to your related billable items will also be reflected in the estimated total.

When paying for their appointment, patients will not see the list of related billable items you’ve selected, but they will see the appointment type name and estimated total:
