Getting a list of patients for a specific practitioner

Use data exports to see who's seen a practitioner

Patients aren't assigned to specific practitioners in Cliniko, but you can generate a list of patients a practitioner has seen using our data exports. These exports include patient details such as name and email address.

You can generate a list of:

  • Patients who last saw a specific practitioner

  • Patients who saw a practitioner within a specific time frame.

This guide explains how to generate each list, along with important considerations when reviewing the results.

This function is only available to administrators.


Option 1: Export your patients (based on "Last practitioner seen")

To avoid repeating steps, we'll assume you already have the Patients data export and jump straight to working with it. If you need help generating this export, see our guide: Exporting patients.

This method works best if patients only ever see one practitioner at your practice.

Open the patient export in Excel (or your preferred spreadsheet program). Locate the Last practitioner seen column (column AD):

Filter that column by the practitioner's name:

This will show all patients who most recently had an appointment with that

practitioner.

Important things to note

  • This method is only accurate if patients see one practitioner only. If patients see multiple practitioners, it will reflect only the most recent practitioner they saw.

  • If you're sharing this spreadsheet with someone else, consider copying the filtered results into a new sheet so the original full list isn't visible.

  • Bonus tip: you can also use the Last appointment column (column AB) to identify patients seen within a certain time frame (for example, "active" patients in the past three months).


Option 2: Use the Attendees data export (for a specific time frame)

If you need a list of patients who saw a practitioner within a particular date range or if they see multiple practitioners, the Attendees export is usually the better option.

You can get the Attendees data export by following the instructions here: Export appointment calendar and attendees data.

From the spreadsheet, find the Practitioner column (column H) and filter by the practitioner's name:

This will show all patients who attended appointments with that practitioner during the selected time frame.

Important things to note

  • If a patient saw the practitioner multiple times in that date range, they will appear multiple times in the export. You may need to remove duplicates using your spreadsheet program to create a unique patient list.

  • If patients saw multiple practitioners during that time frame, they'll appear under each relevant practitioner for their respective appointments.

  • Like the previous export, remember to copy the filtered results into a new spreadsheet if you're sharing the file and don't want the recipient to get a full list of other practitioners' appointments.


Which method should you use?

If patients typically see only one practitioner, filtering the Patients export by Last practitioner seen may be sufficient.

If you need results for a specific time frame, or patients see multiple practitioners, the Attendees export will give you more accurate results (with some spreadsheet clean-up).
