Practitioners aren't showing up on the calendar. Help!

Unable to see practitioners on your calendar? Check out some of the common reasons as to why!

If you've added a practitioner to your account but they aren't showing up on the calendar, have no fearβ€”it means there's just one (or maybe two) things amiss! There are a few common reasons why someone's name isn't showing up.Β 

The following steps will walk you through what to check! πŸ€©βœ…


Possibility one: the practitioner's schedule isn't set up

In this case, you don't see the practitioner's name under Practitioners on the calendar:

But you know they're a user on your account. To check on why they're not displaying, head to their practitioner information page and scroll down to their Practitioner availability. If no boxes are ticked next to each day of the week, that would explain why they aren't showing up:

Make sure you select the appropriate days and set up the times that this practitioner will be working, and hit that Update practitioner button:

When you head back to the Appointments page, you'll see their name in the list of practitioners! πŸ™ŒΒ 


Possibility two: the practitioner's schedule is set up, but at a different location

This only applies if you have more than one business location set up!

If you're not seeing the practitioner's name on your calendar, it could be that they're scheduled to work at a different location.Β 

Take note of the different locations on your calendar (use the menu in the upper left-hand corner of the Appointments page):

In some instances, you may see a message like this, which says that there are no practitoners allocated to this business:

You'll just need to "allocate" them (set up their schedule) at the correct place, and you'll be all set! To do this, head to the practitioner's user settings and scroll down to Practitioner availability. Toggle to the location in question (under Choose a business):

Have a look at their schedule. If no days are selected at the location in question, that would explain why they aren't showing on the calendar! Tick the boxes next to the appropriate days, select the times, and update their settings:

Now, when you go back to the calendar and you look at that location, you'll see their name! πŸ‘ŒΒ 


Possibility three: the practitioner's name isn't selected

This is the quickest and easiest of them all! It might be that the practitioner's name isn't selected on the Appointments page. They're there, just "hidden"!

Under Practitioners on your calendar, make sure that the practitioner name is "selected" by ticking the little box next to it:

Once you make sure the name(s) are ticked, you'll see that they each have their own column, and you can book appointments in! πŸ“†πŸ‘


Possibility four: the practitioner's user role isn't set correctly

In order for anyone to display on the calendar, they need to have their security role set to Practitioner (and they will need to be an active user):

If you edit their settings, the "Yes" box will need to be ticked to indicate that they are a practitioner:

They will need to:

  • Have their security role set as a practitioner,

  • Be an active user, and

  • Have "Yes" selected for whether or not they are a practitioner.
