Import billable items into Cliniko

Import your billable items from a spreadsheet file into Cliniko!

Looking to import or transfer your billable items from another practice management system? Instead of adding your billable items manually or individually, you can use the Data import tool to load them all at once.


Importing CSV in Cliniko

Head to Settings, and then Data imports:

Under Choose an import type, select Billable items, and click the Import button:

On the next page, click the Choose file button and select your CSV file from wherever it's stored on your computer. Then click the Match information button:

You'll be brought to a page where you will now "match" information from your Billable items spreadsheet to Cliniko:

What does "matching information" mean?

Your import file will already have certain columns β€” name, service code, tax percentage, price, etc. These columns or fields can be imported into Cliniko and "matched" to the same areas! Cliniko will do its best to recognise what's already in your Billable items spreadsheet and it will try to match fields accordingly (i.e. Service to Name , Type into Item Type , Tax Amount to Taxable, etc.).

Sometimes, though, it won't always understand what you currently have in your spreadsheet, and may not match it correctly, or import it at all. This is why we recommend spending some time on this part of the import process, making sure that fields are being matched appropriately!

When you click the menus under Import into, you'll see a list of all the available Cliniko fields you can import your data into:

Here's what each of those fields means:

  • Item code: the item code for the billable item (if applicable).

  • Name: the name of the service or item.

  • Price (ex. tax): the number that you put here is the amount that your patient will pay. The "ex. tax" part simply determines whether that amount will be tax-exclusive or not.

  • Taxable: if the billable item's price has tax, put the "type" of tax here (i.e. GST). You'll need to add those Tax types in Cliniko before the import in order to match.

  • Item type: determines if the billable item is categorized as "service" or "other".

Once you've "matched" the spreadsheet fields with their corresponding Cliniko item fields, click the Import and finish button. You'll then see that your billable item data is importing. If needed, you can leave the page and come back later.

Once it's imported, you'll see the details of the import:

Now your billable items are imported! They will now be visible via Settings β†’ Billable items.
