If you archive something, it will no longer be visible within your account—but it still "lives" in the Cliniko database. If you need to see a record of what was archived, you can find that in the Data exports!
☝️Note: This function is only available to administrators.
Find archived information
Head to Settings, and then Data exports:
Select the type of data you'd like to export, as well as the date range, and then tick the box next to Include archived records:
Click the Export data button, and your file will be generated.
☝️Note: Depending on how much data is in your export, it might take a few minutes to generate! You don't need to stay on this page while you wait—you can navigate to somewhere else, and then come back here.
Once your file is ready, click the Download button:
When you open the CSV file in any spreadsheet-reading program on your computer, column A will say "Archived?". If the item has been archived, it will be noted in that column, and any related information (such as when it was archived and who did it) can be found under any other column with "Archive" in the header.
Below is an example of an "Invoices" export that includes archived records. Columns A, Y, and Z all give us the archive details:

🚨IMPORTANT: If you plan to filter your results in a spreadsheet tool (such as Excel, Numbers, Google Sheets, etc.), make sure to delete the filtered rows if you're providing the file to someone else. Filtering by itself does not delete any information—it simply hides it from the current view.
